General Terms and Conditions (T&Cs)
These General Terms and Conditions apply to all contracts concluded between Hotel Zur Sonne Romantik Hotel & Restaurant and its guests regarding accommodation and related services.
1. Contract Formation
1.1 A room, conference/seminar, or event booking may be made in writing, by telephone, or online.
1.2 The contract is formed when the hotel confirms the booking in writing or by email.
1.3 Special requests from the guest (e.g. room location, allergy-friendly bedding) will be accommodated where possible but do not form part of the contract unless expressly confirmed. The confirmed board agreement applies for the duration of the stay. Unconsumed meals will not be refunded. Changes to half-board arrangements take effect from the following day.
2. Cancellation and No-Show
2.1 Cancellations must be made in writing.
2.2 For individual travellers, cancellations up to 15 days before arrival are free of charge. Cancellations up to 8 days before arrival will be charged at 60% of the room rate; thereafter up to the arrival date, 90%. For early departure, 80% of the room rate applies.
2.3 In the event of a no-show without prior cancellation, the full price will be charged. In the case of sudden illness at short notice, a one-time rescheduling free of charge is possible.
2.4 Cancellations of conferences, seminars, or group trips are free of charge up to 7 weeks before the event. Cancellations up to 3 weeks before the event will be charged at 60% of the agreed services; thereafter up to the event date, 90%.
2.5 Special cancellation and deposit conditions apply to weddings. Free cancellation up to 6 months before the date (7 weeks for banquets). Thereafter, cancellation fees based on guest numbers: up to 20 people €1,000; up to 40 people €2,000; up to 60 people €3,000. From 4 weeks before the event: 90% of the menu price, or €50 per person without a menu, based on the reserved number of participants.
2.6 Option dates are binding. The hotel reserves the right to release reserved rooms once the option period has lapsed.
2.7 For group bookings of 5 or more persons, the participant list must be submitted to the hotel no later than 2 weeks before arrival.
2.8 Changes to participant numbers or event times must be communicated in writing no later than 5 working days before the start (14 working days for weddings and banquets) and require the hotel's approval; otherwise at least the agreed number of guests will be charged. Additional participants will be invoiced separately; prices and rooms may be adjusted; approved time changes may incur additional costs.
3. Hotel Services
3.1 The hotel provides the guest with the booked rooms, breakfast, and any additional booked services.
3.2 The hotel is entitled to refuse or modify services for good cause (e.g. force majeure, technical faults).
3.3 Rooms are available from 2 pm on the arrival date and until 11 am on the departure date. For late check-out until 2 pm, 50% of the room rate applies; thereafter 100%. Arrivals after 10 pm are only possible by prior arrangement; access is not guaranteed.
3.4 Reservations not including dinner do not automatically include a restaurant table reservation. Please notify reception in good time if you wish to reserve a table.
3.5 Vouchers are valid within the current calendar year. For vouchers with a specified service, the value fixed at the date of issue applies; any price differences will be charged to the guest.
4. Prices and Payment
4.1 Prices are those listed in the hotel's current price list at the time of booking.
4.2 Payment is due on departure unless otherwise agreed. Accepted payment methods are communicated at the time of booking.
4.3 For conferences, seminars, and group trips, a deposit of 20% is due 6 weeks before the event. For weddings and other events, the deposit is €1,000 for up to 20 persons, and €2,000 for 21 or more persons, as a booking guarantee.
5. Guest Obligations
5.1 The guest undertakes to treat rooms and facilities with care and is liable for any damage caused by themselves or their companions.
5.2 Pets are welcome. The number and size of dogs must be stated at the time of reservation.
5.3 Smoking is prohibited throughout the hotel. Violations may be subject to a fee.
5.4 The guest undertakes to comply with the hotel's house rules.
The hotel reserves the right to exclude guests who breach the house rules.
6. Hotel Liability
6.1 The hotel is only liable for damage caused intentionally or through gross negligence.
6.2 The hotel accepts no liability for the loss of cash, valuables, or personal effects.
7. Data Protection
The hotel processes guests' personal data only in accordance with the law, for the purpose of contract fulfilment and marketing.
8. Final Provisions
8.1 Place of jurisdiction is the hotel's place of business.
8.2 Should any individual provision of these T&Cs be invalid, the validity of the remaining provisions shall remain unaffected.
